Vice President of League Operations

 

  1. Oversee management of any and all fund raising activities in collaboration with the Director of Fundraising.

 

  1. Be responsible for Opening Day Parade and Ceremony, and other activities not limited to: GLL night at a minor league game; “A Night at the Majors” event for Teeball, A and AA teams; league championship game ceremonies, etc.

 

  1. Assist and support all league activities as required.

 

  1. Be an ex-officio member of all committees.

 

  1. In case of the absence or disability of the President, and provided he is authorized by the President or Board so to act, the Vice President shall perform the duties of the President, and when so acting shall have all the powers of that office.

 

Treasurer

 

  1. Perform such duties as are herein specifically set forth and such other duties as are customarily incident to the Office of Treasurer or may be assigned by the Board.

 

  1. Receive all monies and securities, and deposit same in a depository approved by the Board.

 

  1. Keep records for the receipt and disbursement of all monies and securities of the Local League, approve all payments from allotted funds and draw checks.

 

  1. Be a member of the Budget Committee.

 

  1. Be responsible for providing a financial report at the President's request and at the annual meeting.

 

  1. Be responsible for completing the application for the Guilford Community Fund grant.

 

  1. Be responsible for submitting the financial statements to Williamsport as required.

 

 

Player Agent

 

  1. Record all player transactions and maintain an accurate up-to-date record thereof.

 

  1. Receive and review applications for player candidates and assist the President in checking residence and age eligibility.

 

  1. Provide the Vice President with a list of players eligible for transfer to or from the minor leagues according to provisions of the Regulations of Little League Baseball.

 

  1. Prepare a roster of registered players by division

 

  1. Prepare for the President's signature and submission to Little League Headquarters, team rosters, including players' claimed, and the tournament team eligibility affidavit.

 

  1. Prepare for the President’s signature the notification to Little League Headquarters of any subsequent player replacements.

 

  1. Conduct annual evaluations and oversee player selection.

 

  1. Separate player agents may also be selected to oversee individual divisions within the league.

 

  1. Address member concerns.

 

  1. Maintain player pool.

 

Coaching Coordinator

 

  1. Represent coaches/managers in the local league

 

  1. Present a coach/manager training budget to the board

 

  1. Gain the support and funds necessary to implement a league-wide training program

 

  1. Hold a pre-season coaches meeting to review safety, rule modifications, the Coaches' Code of Ethics, and the Local League rules.

 

  1.  Order and distribute (or make aware of online) training materials to players, coaches and managers

 

  1. Coordinate mini-clinics as necessary during the season.

 

  1. Help implement LittleLeagueCoach.org as the manager-coach education program for the league.

 

  1. Require coaches/umpires to walk fields for hazards before use.

 

  1. Make sure coaches and managers enforce rules at practices as well as games.

 

  1. Coordinate annual first-aid training for coaches and managers with the Fields and Safety Officer, with at least one coach or manager from each team attending.

 

  1. Training qualifies volunteer for 3 years, but one team representative still needed each year.
  2. Document the date, location, and who is required to attend as well as who attended.

 

 

 

 

 

The Director of Safety, Fields & Maintenance

 

  1. Supervise the maintenance of all playing fields, fixed field equipment, and spectator areas.

 

  1. Submit the schedule of games being played at each field to Guilford Parks & Rec. and the Athletic Director at Guilford High School as appropriate.

 

  1. Act as the liaison between their respective division and the Guilford Park & Rec. and the Athletic Director at Guilford High School.

 

  1. Ensure that all appropriate safety precautions are followed and that safe environments exist at all games and practices.

 

  1. Coordinate all safety activities including supervision of ASAP (A Safety Awareness Program).

 

  1. Reports suggestions to Little League International through the ASAP system.

 

  1. Provide individuals with access to safety manuals necessary to perform their roles.

 

  1. File the necessary paperwork with Williamsport in the event of an accident or injury in their respective division.

 

  1. Be responsible for inspecting all playing equipment before it is distributed to the coaches.

 

  1. Complete the annual Little League Facility Survey

 

  1. Require and provide a first-aid kit at each game and practice.

 

  • Solicits suggestions for making conditions safer.

 

The Director of Concessions:

 

  1. Be responsible for obtaining, via the assistance of the team parents, volunteers to operate the Concession Stand at Adams Field or any other place the Local League deems necessary.

 

  1. Be responsible for stocking and overseeing inventory in concessions stand.

 

  1. Be responsible for securing the Guilford Health Department's approval to open the stand prior to opening day of the season.

 

  1. Be responsible for submitting all receipts and bills to the Treasurer in a timely fashion.

Director of Fundraising:

  1. Solicits and secures local sponsorships to support league operations
  2. Collects and reviews sponsorship and fundraising opportunities
  3. Organizes and implements approved league fundraising activities
  4. Coordinates participation in fundraising activities
  5. Maintains records of monies secured through sponsorship and fundraising initiatives

 

Information Officer

 

  1. Manages the league’s official home page.

 

  1. Post and distribute emergency and key officials' phone numbers.

 

  1. Manages the online registration process.

 

  1. Ensures League rosters are maintained on the site.

 

  1. Assigns administrative rights to League volunteers and teams.

 

  1. Ensures that league news and scores are updated on a regular basis.

 

  1. Collects, posts and distributes important information on League activities including direct dissemination of fund-raising and sponsor activities to Little League International, District, public, League Members, and media.

 

  1. Serves a primary contact person for Little League regarding optimizing use of the Internet for League administration and for distributing information to league members and to Little League International.

 

  1. Displays enthusiasm for using the Internet for league administration, for sharing information, and for creating a more efficient Little League experience.

 

  1. Offers guidance to coaches and league officials for use of League website.

 

Director of Travel Ball

 

  1. Coordinate logistics of the Intermediate 50/70 division.

 

  1. Communicate with outside baseball and softball programs concerning coordination of schedules and fields

 

  1. Assist in the selection of tournament sites and area tournament directors.

 

Equipment Manager

 

  1. Maintain an inventory of all playing equipment and fixed field equipment.

 

  1. Ensure that all playing equipment distributed is in good operating condition.

 

  1. Place orders for new equipment not to exceed their annual budgeted amount.  If equipment is needed which will exceed their budget, they must get approval from the Board.

 

  1. Issue equipment to the coaches and collect the equipment at the end of the season in a timely fashion.

 

Director of Publicity

 

  1. Be responsible for coordinating publicity for each division.

 

  1. Secures permission from parents for use of photos in local newspapers.

 

  1. In coordination with the Vice President of League Operations, and the Director of Fundraising/Special Events, coordinate team photos with the assistance of the team parents and the photographer.

 

  1. Maintain GLL Facebook page.

 

Director of Education

 

  1. In coordination with the Director of Fields and Safety, provide periodic safety reminders about injury prevention each season.

 

  1. In coordination with the Director of Fields and Safety and Coaching Coordinators, respond to requests from divisions and coaches for workshops for coaches, players or parents.

 

  1. Keep the membership up-to-date on initiatives from International Little League, Inc.

 

  1. Remind league members about available documents on the GLL website, including League Codes of Conduct.
